Every Document a Carrier Might Ask You For
The pattern behind almost every unclaimed discount is the same. It was mentioned once, it required a document, the document was going to be sent later, and later never arrived. Build the folder once and the problem stops recurring.

How to keep it
One folder, digital, named something you will find. Photograph paper documents rather than promising yourself you will scan them. Date every odometer photo — a picture with no date proves very little a year later.
Send it once, then re-send it at renewal
This is the part people miss. Several of these are verified at inception and again at renewal. A transcript from two years ago does not support a discount for the current term. Put a reminder a month before each renewal date and refresh whatever has aged.
Get confirmation in writing
After you send anything, ask for confirmation that it was applied — and then check the next declarations page yourself. Documents get received and not actioned. The declarations page is the only record that counts, and reading it is how you find out whether the paperwork did what it was meant to do.
What this is not
